Refund policy

REFUND, CANCELLATION AND REPRINT POLICY

Effective date: July 26, 2026

Customized Products

All products sold by Paper & Vinyl Labels Co. are manufactured specifically for the customer using the customer’s selected size, shape, material and artwork.

Because these products are customized, we do not accept returns or provide refunds for:

  • Change of mind
  • Ordering the incorrect size, shape or material
  • Ordering too many or too few labels
  • Disliking customer-supplied artwork after approval
  • Spelling, telephone-number, address, date, price or content errors approved by the customer
  • Low-resolution or unsuitable artwork where the customer chose to proceed after being advised of the concern

This policy does not limit any rights or remedies that cannot legally be excluded under applicable consumer-protection legislation.

Order Cancellations

Contact us immediately if you need to cancel an order.

An order may be eligible for a full refund if:

  • Production has not begun.
  • No proofing, design, prepress or custom setup work has been completed.
  • No material has been prepared specifically for the order.

Once proofing, design, prepress or production work has begun, we may deduct the reasonable value of work already completed.

Orders cannot normally be cancelled after final proof approval or after production has begun.

Eligible Reprint Claims

We will review a reprint request when the delivered order has a material manufacturing error attributable to us, including:

  • The wrong label material was supplied.
  • The wrong ordered size or shape was produced.
  • The quantity supplied is materially below the ordered quantity.
  • The printed product materially differs from the approved proof.
  • The labels contain a substantial production defect.
  • The products were damaged before dispatch or during shipping.

Minor variations that are normal in commercial printing and digital cutting are not considered manufacturing defects.

Issues Not Normally Eligible for Reprint

A complimentary reprint or refund is not normally provided for:

  • Errors visible in an approved proof
  • Incorrect customer-supplied artwork
  • Low-resolution images
  • Missing bleed in customer-supplied artwork
  • Colour differences between a monitor and printed output
  • Minor colour variation between separate production runs
  • Minor cutting or positioning variation within normal commercial tolerances
  • An incorrect product size selected by the customer
  • Labels applied to unsuitable, dirty, wet, oily, textured or contaminated surfaces
  • Adhesion problems caused by the application surface, environmental conditions or improper application
  • Damage caused after delivery
  • Incorrect storage
  • Carrier delays where the products were produced and dispatched correctly
  • Incorrect shipping information supplied by the customer

Colour Expectations

Computer monitors, mobile devices and office printers display colour differently from commercial printing equipment.

A digital proof is intended primarily to confirm artwork content, size, layout and cut position. It is not a guaranteed physical colour match.

Exact colour matching is not included unless it has been agreed to in writing before the order is placed.

Reporting a Problem

Report any suspected manufacturing defect within seven calendar days of delivery.

Email sales@papervinyllabels.ca and include:

  • Your order number
  • A description of the problem
  • Clear photographs of the full sheets
  • Close-up photographs of the affected labels
  • The approximate number of affected sheets or labels
  • Photographs of the packaging if shipping damage occurred

Do not discard the products until the claim has been resolved.

Available Remedies

After reviewing an eligible claim, we may provide one of the following remedies:

  • Reprint the affected quantity
  • Replace the affected products
  • Issue a partial refund
  • Issue a full refund for the affected item

The appropriate remedy will depend on the nature and extent of the issue.

We may require the affected products to be returned before completing a refund or replacement.

Except where required by law, an approved reprint is the primary remedy for a correctable manufacturing defect.
